Executive Assistant and Office Manager

This is a unique opportunity for a highly skilled Executive Assistant and Office Manager to serve as the operational right hand to a globally renowned CEO, based in Taipei.

It is designed for someone who thrives in a fast-evolving, AI-driven environment and can seamlessly operate across English, Japanese, and Traditional Chinese.

Key responsibilities:

As Executive Assistant / Office Manager, you will support the CEO’s daily operations while ensuring smooth office administration across the Asia-Pacific region.

  • Manage the CEO’s complex calendar across multiple time zones, including Tokyo, Taipei, Singapore, Dubai, London, and New York
  • Coordinate international travel, meetings, and events across key global markets
  • Oversee Taipei office operations, including vendors, facilities, compliance, and government registrations
  • Serve as the primary contact for Taipei-based stakeholders engaging with the CEO’s office
  • Research AI industry trends, technology policies, market developments, and investor activity
  • Liaise with government agencies, legal counsel, and accountants to support regulatory compliance
  • Draft and manage executive communications in English, Japanese, and Traditional Chinese

Candidate profile:

To excel in this role, you bring a wealth of experience supporting senior executives.

  • 5+ years’ experience supporting senior executives in Executive Assistant, Chief of Staff, Office Manager, or similar roles
  • Strong written communication skills in English, Japanese, and Traditional Chinese
  • Familiarity with Japanese business culture, Taiwan administrative processes, or cross-regional coordination within APAC
  • Hands-on experience using AI productivity tools such as ChatGPT, Gemini, Claude, or Grok
  • High level of professionalism, discretion, and sound judgement when handling confidential matters
  • Experience supporting founders, startups, or international leadership teams is a plus
