Executive Secretary
This organisation is looking for a highly organised and professional Executive Secretary to provide dedicated support to the General Manager while assisting with select HR-related functions. The role offers valuable exposure to senior leadership and business operations.
Key responsibilities:
As an Executive Secretary, you will play a pivotal role in ensuring smooth business operations by providing high-level administrative support while contributing to HR coordination efforts.
- Provide comprehensive executive support to the GM, including calendar management, travel arrangements, and expense coordination
- Prepare business presentations, reports, and meeting materials; track follow-ups and key action items
- Act as a key liaison between the GM and internal/external stakeholders, ensuring effective communication
- Consolidate and analyse data for reporting, maintaining high accuracy and clarity
- Support internal communications and employee engagement initiatives on behalf of the GM
- Maintain strict confidentiality and exercise sound judgment in all business matters
- Coordinate recruitment processes, including interview scheduling, candidate experience support, and onboarding ensuring smooth integration
- Manage monthly labor and health insurance applications with relevant authorities
- Organise employee engagement activities and internal events; collaborate with the Welfare Committee to address employee needs
Candidate profile:
To excel in this role, you should bring proven experience supporting senior executives in complex organisations, along with strong organisational and interpersonal skills.
- Bachelor’s degree or above, with at least 5 years’ experience in executive assistant, secretary, or office management roles within dynamic environments
- Exposure to HR processes such as recruitment scheduling or onboarding is beneficial
- Exceptional organisational skills with the ability to with data, reports, and administrative processes
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) for producing high-quality documents efficiently
- Strong interpersonal and communication skills with fluency in Mandarin and English for effective communication in an international business context
